The 8th annual Orie’s Garlic Fest is Sunday, September 7, 2025 from 11am to 3pm — rain or shine! This event is located in Wichita, Kansas in the historic Old Town district at Old Town Plaza & Public At The Brickyard.

Vendor Rules & Regulations

Applying to become a vendor at Orie’s Garlic Fest is a three part process. Reading over, understanding, and agreeing to these Rules & Regulations is the first step. Thank you for your interest!

APPLICATION & APPROVAL

All vendor applications are subject to approval by Orie’s Garlic Fest. Our aim is to carefully curate a top notch, small-scale selection of product-based companies including food vendors (this encompasses value added products, prepared food, food trucks, and restaurants), farmers, ranchers, and handmade artisans. We reserve the right to approve or deny all applications we receive solely at our own discretion. Applications are reviewed regularly, so you should receive a response within a few days of submittal.

New for 2025, there is a separate Sponsorship Application for businesses who are not going to sell products at Orie’s Garlic Fest but simply wish to promote/advertise their company among the crowds that this event draws. Applicants must answer all fields pertaining to their business as thoroughly and accurately as possible in order to be considered for approval. “Will provide if approved” or other similar entries are not valid responses. In some instances requiring clarification, we may email the applicant with additional questions or concerns that will supplement their original application. If this need arises, we reserve the right to delay approving or denying an application pending a response from the applicant. Submitting an application does not guarantee acceptance — event management reserves the right to approve or deny applications at their discretion. If the application is approved, the applicant will receive a “You’re In” email along with a booth payment form. Booth fees must be paid promptly to hold the applicant’s spot and are non-refundable.

BOOTH FEES & PAYMENT

Applicants are required to pay their booth fee invoice by the due date. One automated email reminder will be sent as a courtesy. Failure to pay the booth fee invoice by the due date will result in the cancellation of the invoice. The applicant’s acceptance as a vendor to our event will be subsequently voided. If the invoice is canceled due to non-payment, the applicant will be required to resubmit an application to be considered again. Applicants who resubmit an application after failure to pay on time the first time will incur an additional $10 fee for reprocessing.

By submitting an application and paying the booth fee, applicants/vendors agree to the terms set forth within the following Vendor Application and these Rules & Regulations. No refunds will be issued should the applicant/vendor choose to cancel their involvement. Orie’s Garlic Fest is a rain or shine event. The application deadline is August 27, 2025. All booth fees must be paid by the due date noted on the applicant’s invoice, either two weeks after the invoice is sent or by August 29, 2025 — whichever comes first.

How do we use booth fee payments and what does that money go towards? Put simply — the annual administration, organizing, planning and promotion of Orie’s Garlic Fest. This includes (but isn’t limited to) items such as:

  • City of Wichita community event fees including licensing, application processing, road closure, and venue rental

  • marketing materials including website maintenance, printed and digital promotional items, advertising partnerships with area bloggers, and professional photography

  • live music, security, and additional trash service

VENDOR REQUIREMENTS

  • Read and understand the terms set forth within these Rules & Regulations and the Vendor Application

  • Fill out an application for Orie’s Garlic Fest 2025 before the deadline of August 27, 2025

  • If accepted, applicants must pay their booth fee within two weeks of the invoice date or by August 29, 2025 — whichever comes first. Failure to pay the booth fee by the due date will cancel the applicant’s acceptance as a vendor to this event. Applicants are not considered vendors until they have 1) been approved by event management and 2) paid their booth invoice

  • Food vendors must have all proper licensing and be in compliance with regulations set in place by the Kansas Department of Agriculture, City of Wichita, Sedgwick County, and the State of Kansas. It is solely the responsibility of the vendor to know what these requirements are as they pertain to their business

  • Vendors who provide product samples must comply with the rules set forth by the Kansas Department of Agriculture (find those rules here: Food Safety for Kansas Farmers Market Vendors: Regulations and Best Practices)

  • If not selling ready-to-eat items, food vendors are highly encouraged to offer a tasting or product sample to attendees

  • Vendors offering consumable products must have proper product liability insurance — no exceptions

  • Sales tax must be collected by vendor businesses as required by state law

  • Vendors will receive specific load-in/tear-down instructions via email when the date of Orie’s Garlic Fest nears. It is imperative to follow these instructions as closely as possible to have a smooth and stress-free setup/tear-down

  • Vendors are not permitted to tear down their booth or display before the Fest is over for the day. Not only is this a disturbance to attendees, it is also unsafe — no exceptions. Vendors who disregard this rule will not be allowed to participate at Orie’s Garlic Fest again

  • Vendors are required to park their vehicles away from the Fest area in the designated Vendor Parking (exceptions include food trucks and other companies who literally operate out of their vehicles)

  • Trash receptacles provided throughout the event are for attendee use only. Trash generated by vendors during the event must be hauled away at tear-down. Vendors must leave the event space clean and in the condition that they found it in

  • As a condition of being a vendor, the vendor agrees to release and hold Orie’s Garlic Fest, Orie’s Farm Fresh, Public At The Brickyard, and their members, agents and employees harmless from all claims related to or arising from the vendor’s attendance at Orie’s Garlic Fest

  • Orie’s Garlic Fest, Orie’s Farm Fresh and Public At The Brickyard are not responsible for any loss or damage incurred by vendors

VENDOR CODE OF CONDUCT

  • It’s essential to the overall success of Orie’s Garlic Fest that vendors act in a kind, respectful, and professional manner at all times

  • Vendors who act in an unprofessional manner or are rude to our staff, other vendors, or anyone else will not be allowed to participate in future events — no exceptions

  • While we do everything we can to provide thorough instructions for load-in and tear-down, there will always be a few chaotic moments during these times because we are packing in a lot of vendors into our event space. Vendors must be patient with each other, especially at tear-down. We are all ready to leave at the end of the day, but some folks take longer to pack up and move than others. Be patient with someone if they are “in the way” at the end of the day and kindly wait for them to move. Being rude or making them feel rushed is not helpful

  • Vendors must refrain from wearing clothing with vulgar language or political messaging

  • Smoking/vaping is not permitted at Orie’s Garlic Fest

  • Vendors are not to play radios or any music/audio during Orie’s Garlic Fest
